Shipping Policy

Last updated: October 30, 2026

This policy summarizes how wholesale orders are delivered and how we handle damaged or incorrect product. Your signed purchase agreement controls if anything here differs from it.

Delivery options

Local delivery by Uma Matcha (Tampa Bay area): Risk of loss passes to you when you receive the order at your location.

Third-party carrier (elsewhere in the United States): Risk of loss passes to you when we hand conforming product to the carrier.

We ship within the United States only. Delivery or freight charges are listed on your quote and invoice. Standing-order partners may qualify for waived local delivery, as set out in their agreement.

When orders ship

Orders ship or are delivered after payment is received, unless your account has approved credit terms. Recurring shipments go out on the scheduled date in your agreement. We will tell you promptly if an availability issue affects your order.

Changing or cancelling an order

  • One-time orders: once we confirm an order, it can't be cancelled or changed without our written consent.

  • Recurring shipments: you can change, pause, or cancel a scheduled shipment through the customer portal or by email, as long as you do it before the cutoff in your agreement. Shipments not changed by the cutoff will ship and are payable.

Inspect on arrival

  • Please inspect every delivery as soon as it arrives. Report any visible damage, shortage, wrong product, or other problem within 5 business days of delivery. Hidden defects that couldn't reasonably be found on inspection should be reported promptly after you discover them.

How to make a claim

  1. Email hello@umamatcha.com with your order or invoice number.

  2. Include photos of the product, packaging, and lot code label.

  3. Keep the affected product and packaging; we may ask you to return it.

Refunds and replacements

Once we verify a claim, we will, at our option, replace the affected product or issue a credit or refund for the price paid for it. This is the remedy for verified claims, except where the law requires otherwise. Refunds go back to the original payment method.

What we can't accept

  • Returns of correctly delivered, undamaged product. Because matcha is a food product, we can't resell opened or delivered goods.

  • Quality issues caused by storage, handling, or use after delivery. Keep product sealed, cool, dry, and away from light and strong odors.

  • Claims reported after the 5-business-day window for problems that were visible on arrival.

Delays outside our control

If weather, carrier disruption, or another event outside our control delays a confirmed order by more than 30 days, either of us may cancel the undelivered portion, and we will refund any prepayment for it.

Recalls

If a recall or food-safety issue ever affects a lot you received, we will contact you directly with instructions. This is one reason to keep lot codes with your stock.
